Manual bookings
Take a booking by phone, email or in your office and add it in the console. Manual bookings use the same prices, seats and availability as your website, so a manual booking can never oversell a departure.
Where to find it
Console › Bookings › All bookings › New booking
Add a booking
- Go to Bookings and choose New booking.
- Under Trip, choose the Tour, Option and Departure. Each departure shows how many seats are available.
- Enter the number of travellers for each traveller type. The Summary on the right prices the booking live, including taxes, and tells you how many seats will be left.
- Under Customer, enter Name, Email and Phone.
- Under Payment collected, enter any money you've already received outside Tourtify (leave 0 for pay-on-arrival):
- Amount
- Method: Cash, Bank transfer, Card terminal or Other
- Note, for example a transfer reference
- or tick Mark as paid in full
- Leave Email the customer a confirmation ticked to send the branded confirmation email.
- Choose Create booking.
The booking shows the Added by staff channel. If you recorded less than the total, the rest shows as Outstanding on the booking.
Website deposit
The summary shows what the deposit would be on your website ("Website deposit would be…"), useful when you agree the same terms by phone.
Collect the rest later
Open the booking and either:
- choose Email payment link so the traveller pays online, or
- choose Record payment when they pay you in cash or by bank transfer.
When payments cover the total, the booking becomes fully paid.
Convert an enquiry
From Enquiries, choose Create booking (or Confirm as booking for a booking request). The booking form opens pre-filled with the traveller's name, email, tour, date and group. When you create the booking, the enquiry is marked Won.
Start from a customer
On a customer's page, choose New booking to start a booking with their details filled in.
Things to know
- You need a tour with upcoming departures first ("Create a tour with departures first").
- Only upcoming departures can be chosen.
- You can't book more travellers than the seats left. Increase capacity on the departure first if you need to.
