# Team and roles

Invite guides, office staff and partners so they can work in Tourtify with their own sign-in. Each person gets a role that decides what they can see and do. Your plan sets how many people can join.

## Seats per plan

The owner counts as a seat, and **pending invitations count as seats**. The Team screen shows "*used* of *limit* seats used on the *plan* plan".

## Roles

| Role | Can do |
|---|---|
| Owner | Everything, including billing, payment accounts and deleting the business |
| Admin | Everything except billing: tours, bookings, refunds, team, plugins, settings |
| Sales agent | Takes and manages bookings and enquiries; can view tours |
| Guide | Sees departures and bookings to run trips, and checks travellers in; read-only otherwise |

**Access groups** are extra roles set up by Tourtify for your plan, for example a role for a specific team. They appear under **Access groups** when you choose a role. People with an access group have **Custom access**: only what their group allows.

::: tip Least access
Give guides the Guide role. They can see manifests and check travellers in on their phone, without access to money or settings.

## Invite someone

1. Go to **Settings › Team** and choose **Invite member**.
2. Enter their **Email** and choose a **Role**.
3. Choose **Send invite**.

They get an email with a link to join. Invitation links work for **7 days**. Pending invitations show under **Pending invitations** with their expiry; choose **Resend** for a fresh email or **Cancel** to free the seat.

## Change someone's role

In **Members**, choose the new role from the dropdown next to their name. It applies straight away. Only an owner can make someone else an owner or change an owner's role. You can't change your own role.

## Remove someone

Choose **Remove from team** in the member's actions. They lose access to your business straight away. Bookings and notes they created stay.

## When all seats are in use

You'll see "All *n* seats are in use". To invite more people, upgrade your plan in **Settings › Plan & usage**, cancel a pending invitation or remove someone.

## Working in several businesses

One person can belong to several Tourtify businesses with the same sign-in. Use the business switcher at the top of the sidebar to move between them.

## Security

Encourage everyone to turn on [two-step sign-in](/account/two-step-sign-in), especially owners and admins.
